Hair and MakeUp Booking Terms

The following terms outline alex ouston beauty co (aob) and your responsibilities on and leading up to the booking date. We hope these points help clarify any questions you may have. If anything remains unclear feel free to get in touch with us.

TRIALS

Trials are optional, but we think they’re extremely important! We encourage you where possible to have a trial to test your desired look. Everyone’s idea of a “messy up do” or a “smoky eye” is very different and without a trial, you could be disappointed with the look or create delays on the day. Both outcomes are stressful and not recommended!

To prepare for your trial please collect some references of styles you like (and don’t like) to discuss with us on the day of your trial.

A standard hair or makeup trial which is covered by the indicated fee, includes one hair style or one makeup look and usually takes 1hr. If you are undecided on a look and wish to trial several different looks a longer or separate trial may be required. Please note that a trial booking is specifically designed to test your wedding day look and not an opportunity to have your makeup and/or hair done for another event. If you plan for your trial to coincide with another event and want a different look for the event, this may incur an extra charge.

Please note that we will do our best to secure your preferred trial date and time, but you will need to be flexible with our availability pending other commercial and bridal bookings. We reserve the right to reschedule a trial to accommodate a larger booking or for personal/family reasons at late notice. It is therefore not recommended to book your trial to coincide with a special event as there is a possibility that the artist may need to reschedule. Please respect the allocated time for your trial. If you do not show or cancel within a 24hr period, the trial fee will be forfeited.

Communication is vital for everyone to be on the same page. We won’t be offended so speak up about anything that you are unsure of or don’t like during the trial. We are there to offer professional expertise and advice but at the end of the day we want you to be happy and comfortable with the look. Your trial look may not be perfect but with any changes or notes made from having the trial we are then set to make the look perfect on the day. Please do not hesitate to let us know any feedback after the trial.

DEPOSIT & PAYMENTS

Once you have confirmed a booking with AOB, we will issue an invoice with the proposed services. This will include a 50% Deposit Payment Request. Due to the high booking demand of AOB, we require a non-refundable and non-transferable 50% deposit to secure your wedding date with us. Your date is not secured until your Deposit Payment has been received. The remaining balance (i.e., 50% of the total fees) (Final Payment) is due and payable to AOB two months prior to your booking date. You will receive a Final Payment Request, which will include any adjustments or updates made to your booking.

If your Final Payment has not been received by AOB at least one week before your booking date, the artist/s booked will not attend with no recourse for a refund of the monies paid. It is your responsibility to make prompt payments.

If you make your booking within 2 months of the booking date full payment is required to confirm the booking. All payments are to be made by electronic transfer to our AOB account which will be notified on your Invoice. We do not accept cash for any payment under these Terms.

CANCELLATIONS

Please note our cancellation policy is fixed and applies to all bookings without exception.

Where you cancel for any reason whatsoever at any time AOB will not refund monies paid because AOB will have incurred costs or be subject to loss of income and monies received will be used to cover these costs. Very rarely circumstances may change unexpectedly in the lead up to your booking date. One of the advantages of working with AOB is that we can quickly source a replacement artist. If the replacement artist is not to your satisfaction, we will offer a full refund of monies paid for the services on the cancelled date. This refund does not apply if your original wedding date was postponed.

REFUNDS

Any service refunds are at AOB’s absolute discretion.

COVID POSTPONEMENTS

If there is an imposed government lockdown due to Covid and the artist/s booked are legally unable to work on the booked date, AOB can offer a postponement of services within the following guidelines:

  1. Any monies paid remain non-refundable and non-transferable as outline
under Cancellations.

  2. A $220 postponement fee is due to cover administration costs associated
with postponing your booking.

  3. Your new date must be within 12 months of the original booked date.

  4. If the booked artist/s are not available on the new date, and you cannot.

  5. AOB reserves the right to decide if a postponement request is valid.

MAKING CHANGES TO YOUR BOOKING

If you wish to add services to your booking before the Final Payment is due, an additional Deposit Payment may be required, or the cost for the new services (Additional Services) will simply be added to your Final Payment Request. If you want to add Additional Services after the Final Payment has been received, you can do so if we are able to accommodate these Additional Services. In some cases, an additional artist may be required to accommodate Additional Services. Payment for these Additional Services is required immediately.

Acceptance of Additional Services on the day are at the artist’s discretion as the artist may not be able to accommodate such requests as it may jeopardise the quality of their work or delay the wedding day schedule. Payment for any Additional Services added on the day will be requested immediately afterwards.

You may reduce booked services before you make your Final Payment provided you inform your us prior to the due date of the Final Payment. However, please note that we have minimum call out fees so a fee reduction may not be possible despite a reduction in required services. Any reduction in services after the Final Payment is received will not be refunded.

TRAVEL EXPENSES - FOR LOCAL & INTERNATIONAL BOOKINGS

Travel Fees (the time it takes for the artist/s to get to your location) are included in the quote and based on the artist’s requirements and may differ from artist to artist. Any Travel Expenses incurred by the artist (e.g., parking, ferry fees etc) will be additional. For example, if you are getting ready at a hotel that offers valet parking the artist will bill this cost directly to your room or you could pre-pay for a nearby parking station.

If your artist is travelling a long distance to get to your venue (generally over 2hrs drive) or you have an extremely early start time you may need to provide accommodation for them the night prior. If the artist booked is required to fly to your wedding destination appropriate flights, transfers, per diems, accommodation and travel fees will be outlined on your quote. Payment for any unforeseen expenses incurred will be requested after the date.

IN THE EVENT OF DELAYS

If the artist/s booked experience unforeseen delays, which are out of their control, (for example: car accident, road closures or any similar event out of their control) rest assured that some buffer time is allocated in the schedule and our artists can adapt and work quickly to get the job done. If the delays are such that the artist/s are unable to get to your destination at all, (for example: flooding, fires, travel bans, flight cancellations or any similar event out of their control) then we will work to find a solution for you. However, we cannot be held responsible or liable for such delays or inability to attend.

No compensation will be offered for such delays or events. Likewise, no compensation will be offered for delays caused by other wedding vendors, guests, or members of the bridal party. If you suspect a member of your bridal party may pose a challenge, they are encouraged to book in their own trial to avoid potential delays or disappointment on the day.

If you are aware of factors, which could delay or hinder the artist’s journey, such as diversions, road closures, speed restrictions, match days, market days, navigation issues, travel restrictions etc. Please advise us as soon as possible so we can factor this into the artist’s allocated travel time and/or travel arrangements.

Time management is of the essence therefore adherence by you to the Run Sheet schedule provided is critical to ensure that the artist/s deliver the service in a timely, enjoyable, and relaxed manner. The Run Sheet will be discussed and confirmed with the bride about 2 weeks prior to the booking date. Please ensure every member of your party is aware of requirements and timings. They must remain available as timings may change on the day.

OBLIGATIONS - TRIAL & WEDDING DAY

Please ensure that the artist/s will be working in a suitable environment with adequate natural light, electricity points, and a flat surface or table on which to setup their kits. We kindly ask that you provide basic refreshments like water, tea, coffee and a snack or meal if the booking is more than 4hrs. Please be aware that our artist’s work diligently but may require a short break to eat, drink, go to the toilet or reset tools.

We kindly request that there be no cigarette smoke in, around or entering the work area. Please also ensure everyone communicates in a respectful and polite manner. Abusive behaviour will not be tolerated.

Artists do not carry specialty items unless they have been pre- arranged. Should someone require special coverage for tattoos or burns please advise us in advance so appropriate time and products can be allocated. You are to inform us of any allergies or reactions prior to any makeup application or hair styling. AOB is not liable for any reactions, injuries, losses, damage, costs, and claims.

Prior to having makeup applied or hair styled please ensure you and your party are prepared to avoid leaving the chair. Please ensure you are makeup free, have cleaned your teeth, have been to the toilet and applied contact lenses (if applicable) before sitting in the chair.

For hair prep we request that you have clean and dry hair on the day ideally shampooed twice the night before and conditioned with a normal conditioner. Please avoid using heavy conditioners as this can weigh the hair down making it flat or the style fall out. Please do not use any oils, products or leave in conditioners and treatments. Your hairstylist will add required product into your hair during styling.

Please do not eat or speak on your mobile phone during makeup application. Please do not sit children or babies on your lap whilst having your hair styled or makeup applied. Please ensure children are kept away from styling tools and artist’s products/ kits. Styling irons are extremely hot, and hazardous.

PHOTOGRAPHY & IMAGE USE

It is imperative that we continue to update our folio and demonstrate our work to prospective clients. The artist will be taking photographs of you during both the trial and the booking date, and these may be used by AOB on social media or our website. Please let us know in advance if you do not wish to be photographed or if you are not happy for us to use your images for these marketing purposes. AOB is happy to be photographed on your wedding day however, we kindly ask that, any image incorporating our team in action, or our hair and/or make-up design refer to and credit Alex Ouston Beauty.

GENERAL ISSUES

Acceptance: You and the bride (where they are different) are deemed to have accepted, and are immediately bound by, these Terms upon AOB’s receipt of any monies paid.

Entire agreement: These Terms comprise the entire agreement between the parties for the provision of the services and supersedes all other agreements, representations, correspondence, and discussions in connection with the services.

Waiver: The failure or delay by AOB to enforce any provision of these Terms may not be treated as a waiver of that provision, nor affect AOB's right to subsequently enforce that provision.

Governing law: The governing law is New South Wales, Australia.

No set off: You are not entitled to set off against, or deduct from any monies owing to AOB, any sums owed or claimed to be owed to you by AOB nor to withhold payment because part of that payment is in dispute.
